Welcome to Nectar Safaris. We are a locally owned safari company based in Tanzania, and we love helping people discover the beauty of East Africa. These Terms and Conditions explain how we work together — what we promise to you, and what we ask of you in return. Please read these terms carefully before making a booking. By booking a safari with us, you agree to these terms. If you have any questions, we are always happy to help — just reach out before you confirm. Last Updated: June 2025

1. Key Terms Used in This Document

To keep things clear, here is what we mean when we use certain words throughout this document:
  • \"Nectar Safaris\", \"we\", \"us\", or \"our\" — Nectar Safaris, a Tanzania-registered safari company operating at nectarsafaris.com.
  • \"You\", \"client\", or \"traveler\" — the person making the booking, as well as everyone in the travel party.
  • \"Booking\" — a confirmed safari reservation made with us.
  • \"Suppliers\" — the hotels, lodges, camps, airlines, and other service providers we work with to deliver your safari.
  • \"Safari\" — any wildlife tour, game drive, cultural visit, beach extension, or trip package we offer.
  • \"Force Majeure\" — events outside our control, such as extreme weather, government actions, or natural disasters.

2. How to Make a Booking

2.1 Who Can Book

You must be at least 18 years old to make a booking. By booking, you confirm that you are the lead traveler and that all the information you give us is correct. You are also responsible for making sure everyone in your group understands and agrees to these terms.

2.2 How a Booking Becomes Confirmed

Your booking is confirmed when both of the following happen:
  • We receive your deposit payment (see Section 3 for amounts), AND
  • We send you a written booking confirmation by email.
Please review your confirmation carefully. If anything looks wrong, contact us within 48 hours.

2.3 Custom Itineraries

All our safaris are fully customized for you. Before confirming your booking, we will send you a detailed itinerary for your review. If you would like any changes, let us know — we are happy to adjust things until your itinerary feels just right.

3. Payments

3.1 Deposit

To confirm your booking, we require a deposit of 30% of the total trip cost. This deposit is non-refundable once paid, as it covers costs we immediately commit to on your behalf, such as park fees and accommodation reservations.

3.2 Final Payment

The remaining balance (70%) is due no later than 60 days before your safari start date. If you are booking within 60 days of departure, full payment is required at the time of booking.

3.3 Payment Methods

We accept bank transfers and major credit/debit cards. All payments are made in US Dollars (USD) unless otherwise agreed in writing.

3.4 Price Guarantee

Once your booking is confirmed and your deposit is paid, your price will not change. We will always inform you of any price changes before asking you to confirm a booking.

4. Cancellations by You

We understand that plans sometimes change. If you need to cancel your safari, please let us know in writing as soon as possible. The following cancellation fees apply:

More than 90 days Deposit only (30%) forfeited
60 – 89 days 50% of total trip cost
30 – 59 days 75% of total trip cost
Less than 30 days 100% of total trip cost
We strongly recommend purchasing travel insurance that covers trip cancellations. This can protect you financially if something unexpected comes up.

5. Cancellations by Nectar Safaris

5.1 If We Cancel

We rarely cancel a confirmed safari, but if we must cancel for reasons within our control, we will offer you one of the following:
  • A full refund of all payments made to us, OR
  • A comparable alternative safari at no extra cost.
We will notify you as quickly as possible and work hard to find a solution you are happy with.

5.2 Force Majeure

Sometimes events happen that are completely outside our control — such as natural disasters, government travel bans, pandemics, extreme weather, civil unrest, or wildlife emergencies. In these situations, we may need to cancel or change your safari. We will do our best to offer alternatives or credits, but we are not legally required to provide a refund for costs already committed to suppliers. This is another reason we always recommend travel insurance.

6. Changes to Your Safari

6.1 Changes by You

If you want to change your safari after booking — such as dates, destinations, or group size — please contact us as soon as possible. We will do our best to accommodate your request. Please be aware that changes may result in price differences, and some supplier fees may apply.

6.2 Changes by Nectar Safaris

We may occasionally need to make small changes to your itinerary due to circumstances beyond our control — for example, if a park closes unexpectedly, a road becomes unsafe, or weather makes access difficult. We will always try to offer an equal or better alternative and will contact you promptly if any significant change is needed.

7. What Is Included in Your Price

Your confirmed quote clearly states what is included in your safari package. Unless listed in your itinerary, the following are not included:
  • International flights to and from Tanzania
  • Visa fees and passport-related costs
  • Travel insurance (we strongly recommend this)
  • Personal spending and tips/gratuities
  • Items of a personal nature (laundry, phone calls, etc.)
  • Any activities not listed in your itinerary
  • Medical costs or emergency evacuation
Please review your itinerary carefully and ask us if you are unsure about what is covered.

8. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance before their trip. Your insurance should cover:
  • Trip cancellation and interruption
  • Medical expenses and hospitalization
  • Emergency evacuation (especially important for remote safari areas)
  • Loss or theft of personal belongings
  • Delays and missed connections
By booking with us without travel insurance, you acknowledge that you understand the financial risks involved and take full responsibility for any costs that may arise.

9. Your Health and Fitness

Safaris can involve physical activity, including walking, uneven terrain, and long drives. Please be honest with us about any health conditions, disabilities, dietary needs, or mobility concerns before booking. We want to make sure your safari is safe and enjoyable for you. By booking, you confirm that you and your travel party are in good enough health to participate in the activities described in your itinerary. Nectar Safaris is not responsible for any health issues that were not disclosed to us at the time of booking. If you are traveling to Tanzania, please speak with your doctor about recommended vaccinations and health precautions. Yellow fever vaccination may be required depending on your country of origin.

10. Wildlife, Safety & Your Responsibilities

10.1 Wild Animals

You will be traveling in areas where wild animals roam freely. This is one of the most special things about a safari — but it also means certain risks exist. Animals are unpredictable by nature, and Nectar Safaris cannot guarantee specific wildlife sightings or control animal behavior.

10.2 Following Safety Rules

For your own safety and the safety of others, you must:
  • Always follow the instructions of your guide, driver, and camp staff
  • Never leave your vehicle during a game drive unless your guide says it is safe
  • Never approach or feed wild animals
  • Stay within designated areas in camp at all times
  • Follow all rules of Tanzania\'s national parks and conservation areas
Nectar Safaris will not be held responsible for any injury, illness, loss, or damage caused by failing to follow safety instructions.

10.3 Personal Belongings

We are not responsible for the loss, theft, or damage to your personal belongings during your safari. Please keep valuables secure and speak to your accommodation about safekeeping options.

11. Our Responsibility to You

Nectar Safaris takes your experience very seriously and works hard to deliver the safari described in your itinerary. However, there are limits to our legal responsibility. We are not liable for:
  • Events caused by Force Majeure (see Section 5.2)
  • Actions or failures of third-party suppliers (airlines, lodges, etc.)
  • Personal injury, illness, or loss caused by your own actions
  • Losses not directly caused by our negligence
Our total liability to you will never exceed the total amount you paid for your safari. This does not affect any rights you have under Tanzanian consumer protection law.

12. Problems During Your Safari

We hope everything goes perfectly — but if something goes wrong during your trip, please tell us right away. Contact your guide, camp manager, or our team directly. The sooner you let us know, the faster we can fix it. If your issue cannot be resolved on the spot, please send a written complaint to us within 28 days of your return home. We take all feedback seriously and will respond within 14 business days.

13. Passports, Visas & Entry Requirements

It is your responsibility to have a valid passport and any required visas for entry into Tanzania and any other country on your itinerary. Most visitors can obtain a Tanzania visa on arrival or through the e-visa portal at evisa.go.tz. Nectar Safaris is not responsible for any costs, losses, or issues caused by incomplete or incorrect travel documents. Please check your country\'s entry requirements well in advance of travel.

14. Your Privacy

We respect your privacy. The personal information you share with us is only used to plan and deliver your safari. We do not sell or share your data with third parties for marketing purposes. By booking with us, you agree that we may share necessary information with our suppliers (such as lodges and airlines) to fulfill your booking. For full details, please see our Privacy Policy.

15. Using Our Website

The information on nectarsafaris.com is for general guidance only. While we work hard to keep it accurate and up to date, we cannot guarantee that every detail — including prices, availability, and descriptions — is current at all times. Always confirm the details of your specific trip with us directly.

16. Governing Law

These Terms and Conditions are governed by the laws of the United Republic of Tanzania. Any legal disputes will be resolved in the courts of Tanzania. If any part of these terms is found to be unenforceable, the rest of the terms will continue to apply.

17. Updates to These Terms

We may update these Terms and Conditions from time to time. The most current version will always be available on our website. If we make a significant change, we will notify clients with active bookings by email. Your continued use of our services after any update means you accept the new terms.
